Rivus Detailing ("we", "us", "our") is the controller of personal data collected through this website and the Rivus booking platform. We process personal data in accordance with the UK GDPR and the Data Protection Act 2018.
What we collect
- Account data: name, email address, password hash, phone number (optional).
- Booking data: service address, postcode, vehicle make/model/registration, appointment date and time, service notes.
- Communication data: messages you send us via the contact form or email.
- Technical data: IP address (hashed for consent audit purposes only), device/browser type, pages viewed.
- Payment data: we do not take card payments online. Payment is taken in person at the door — we do not store card details on our systems.
Why we use it and our lawful basis
- Deliver the service you booked — lawful basis: performance of a contract.
- Manage your account and communicate about your booking — performance of a contract.
- Keep the service safe, prevent fraud and abuse — legitimate interests.
- Comply with UK legal obligations (e.g. accounting, consumer law) — legal obligation.
- Optional marketing emails or texts — consent, which you can withdraw at any time.
- Non-essential cookies and analytics — consent (see our Cookie policy).
How long we keep it
- Account records: while your account is active, plus up to 3 years of inactivity.
- Booking and financial records: 6 years from the end of the tax year, to satisfy UK accounting obligations.
- Contact form messages: up to 24 months.
- Consent audit records: 3 years.
Who we share it with
We share personal data only with processors who help us run the service — for example our hosting and database provider, our email provider, and our booking platform. These providers are bound by written data processing terms. We do not sell your personal data.
International transfers
Our providers may process data outside the UK. Where they do, we rely on the UK's adequacy decisions or the UK International Data Transfer Agreement (IDTA) as appropriate.
Your rights
Under UK GDPR you have the right to:
- Access the personal data we hold about you.
- Have inaccurate data corrected.
- Have your data erased in certain circumstances.
- Restrict or object to certain processing.
- Data portability for the data you gave us.
- Withdraw consent at any time where we rely on it.
You can exercise these rights from your account under "My data", or by emailing rivusofficial@rivusdetailing.com. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).
Security
We use TLS everywhere, encrypted storage at our providers, role-based access controls, row-level security policies on our database, and audit logging on administrative actions.
